How to request absence

To request absence via self-service, please follow these steps:

Step 1 – Select the "Self-Service" option from the main navigation menu.

Step 2 - Select "My Absences".




Step 3 - Select the "Book Full Day" or "Book Part Day" tab.


Step 4 – Select the absence type you wish to request an absence for.


Step 5 – Select Go.


Step 6 – Use the calendars to select the required start date and the end date for full-day (s) absences, or "Leave Part" for part-day absences.

Step 7 – Select "OK".

Step 8 – Select "OK" when the system asks you to confirm that your date selection for the absence is correct.

After selecting OK in step 8, the system will check to see if your absence request is valid. If the system determines your absence request is valid, you will receive the following message:

If it is not valid, you may receive one of the following messages.  Should this happen please speak to your manager.

HANDY HINT - If you have not yet been assigned to a holiday group, this means the system cannot determine if there are enough slots available for you to submit an absence request.  (i.e. cannot determine how many staff are currently off on these dates to check if your request is valid).

HANDY HINT - If you do not have a manager assigned to your staff member record, the system cannot determine who to send your request to for authorisation.

HANDY HINT - The administrator will set the amount of notice employees must provide in order to make a request for annual leave.  If the request you have made is less than the required amount of notice, you will receive a message similar to this which will prevent you from making the request.  If your request is urgent, please speak to your manager as this will need to be booked manually on your behalf.

HANDY HINT -  The administrator will set the maximum number of days in a row that you are able to make a request for annual leave.  If the request you have made exceeds that number of days in a row, you will receive a message similar to this which will prevent you from making the request.  If your request is a special case, please speak to your manager as this will need to be booked manually on

your behalf.

HANDY HINT - The system will not allow you to make a request for absence in the past.  If for any reason an absence request needs to be booked in the past, your manager will need to do this manually on your behalf.

HANDY HINT -  If your rota has not been generated for the dates of absence you are requesting, the system cannot determine the number of days or hours to subtract from your annual leave or lieu balance, and therefore you will receive a message as per the above example.  Please speak to your manager who can then assign your shifts to the rota, and you can then re-submit your request.
